Volunteers
Swim meets are run solely by volunteer help. It takes 20-30 adults to
run a home meet. You are responsible to fill 2 shifts per child, with a maximum
of 5 shifts throughout the regular season. We also need additional shifts filled
during prelims and finals and will be asking all parents with kids who are
attending these meets, to volunteer a shift.
If you are volunteering for the first shift of the day, it is important that
you are at your position 15 minutes prior to the start of the meet. Check
in with the Volunteer Coordinator prior to taking your position. The jobs
require minimum explanation. Stroke Judges and Starter/Referee are the only
positions requiring clinic attendance ahead of the start of the season.
Volunteer Positions
Shift Times: Please check in for your shift with the Volunteer
Coordinator 15 minutes prior to your shift time. First Shift: 8:00-10:00;
Second Shift: 10:00 to end of meet.
| Job | Description |
| Setup | Two volunteers needed for home meets per shift and one for away. Set up for
home meets is usually done at 6:00pm the Friday night prior to a meet. It
includes set up of the team tent, heating tent and chairs, ropes around the
pool, flags over the pool, data entry area, water jug/cups for kids in heating,
and a table for the Starter. The team tent is set up at 6:45 am at away meets,
requiring volunteers to be at the pool of the away meet early. |
Data Entry/
Scoring | One trained volunteer needed for home meets. Data entry volunteers must
attend the RMSL Meet Manager training. Duties include entering swimmers' times
into the computer, sending meet results to the RMSL computer rep for posting,
printing and posting all results on the swim team bulletin board and printing
labels for ribbons. |
Computer Scorer
Assistant | One volunteer per shift needed for home/away meets. Assist the Data
Entry/scoring volunteer at the home meets by reading the results from the deck
cards. |
| Deck Cards | One volunteer per shift needed for all meets. Volunteer gathers the swimmers
prior to their event, gives them their deck card and directs them to the heating
area. All swimmers should be under the team tent and in their chairs when their
event is being heated. NOT responsible for looking for swimmers. If swimmers are
not in the tent area when their event is heated, they will be "scratched" from
the event. |
| Heating | Three volunteers needed per shift for both home and away meets. These
volunteers place the swimmers in the chairs in the heating area according to the
lane and heat that they will be swimming. |
| Timers | Five timers per shift needed for home meets; 3 per shift for away. A Timer
uses a team stop watch and times each event for their lane during their shift;
then writes the time for that swimmer or relay team on the deck card and gives
the card to the "Runner". If a swimmer is disqualified they write "DQ" and hold
the swimmer for the Stroke Judge to explain the infraction. Timers attend the
7:30am meeting with the Stroke judges/Starter/Referee prior to each
meet. |
| Clerk of the Course | One volunteer per shift needed for home meets only. Ensure swimmers are in
the proper lineup and have their deck cards. Managing last minute changes and
providing a very positive atmosphere to swimmers so they can compete at their
best level. |
| Runner | Two volunteers per shift needed for home meets and one for away meets/shift.
The Runner takes the deck cards from the timers on deck and "runs" them to the
scoring table. |
| Stroke Judge | Two volunteers per shift needed for both home and away meets. Stroke Judges
must attend a mandatory RMSL clinic prior to swim season and then complete a
self-scoring test. All Stroke Judges must attend a 7:30am meeting prior to the
swim meet regardless of the shift they are working that day. This position is
recommended for seasoned parents or parents who were competitive
swimmers. |
| Starter/Referee | One RMSL Trained volunteer per shift for home meets only. This volunteer
must be a qualified Stroke Judge responsible for starting each event and
refereeing conflicts that may occur during the meet. The Starter/Referee is
required to complete RMSL training. |
| Announcer | One RMSL trained volunteer per shift for home meets only. The announcer is
the emcee of the event, insuring that all meet information is communicated
effectively. Announces upcoming events to call swimmers to the heating tent,
watches the deck and heating personnel for announcements, keeps a good pace to
the event and helps with ancillary announcements. The announcer is required to
complete RMSL training. |
Take Down/
Trash Clean Up | Two Volunteers needed per meet. At the conclusion of each meet, all items
need to be taken down, folded and stored in their proper locations. All trash
needs to be picked up and lost and found items
collected. |
Stroke Judges, Clerk of the Course,
Referee/Starter require some training or experience and require the fewest
number of volunteers. All other positions can be learned on the job.
The
volunteer coordinator will do their best to e-mail all parents a week in advance
to remind them of their volunteer responsibility at the next meet.
